Position: Business Manager Salary: Competitive Hours: Full Time Full Circle Farm Sanctuary (FCFS) is a 50 acre sanctuary and outreach center located in Warm Springs Georgia that serves as a permanent safe haven for farmed animals. In addition to providing a nurturing lifetime home for over 100 animals here at our sanctuary, we also network with other sanctuaries and animal advocates in efforts to help find loving forever homes for many more animals who need our help. Likewise, through one-on-one interactions with our rescued animal resident ambassadors, along with community outreach and education, we strive to bring public perceptions of farmed animals full circle to embrace true compassion for ALL. FCFS seeks an experienced, full-time Business Manager to support its quickly growing operations. This position has a wide range of responsibilities and will assist in developing procedures and processes for the organization. Candidates for the position should have some experience in budgeting procedures, financial tracking, year-end close/audit prep, account reconciliations, inventory tracking, human resources and database administration. Fundraising experience is a plus. They should have excellent analytical, organizational and communications skills, coupled with proven ability to work independently, set priorities, manage overlapping deadlines and learn new systems. They should be proficient with Microsoft Excel and databases. Working knowledge of QuickBooks is preferred. Bachelor's degree + minimum 2 years relative experience required; experience working at a nonprofit preferred. Commitment to FCFS's mission is desired. Full Circle Farm Sanctuary’s business manager will build, improve and manage effective and streamlined administrative/financial processes, including financial, accounting, donor management, and human resources. The business manager is responsible for overseeing financial compliance, budgets, and human resources. This position could eventually supervise a bookkeeper and other support staff as activity continues to grow, and as skills develop. The business manager also coordinates the financial side of all fundraising events and will be asked to generate ideas and lead some efforts for fundraising. Financial Management Compliance The business manager will review monthly financial statements and quarterly tax filings, and provide all needed information to the CPA firm to complete the annual audit and 990 filing. The Business Manager also conducts an annual insurance review for liability, disability, and worker’s comp coverage. Budgets Works with the leadership team (Animal Care Coordinator, Facilities Manager) to develop an annual and monthly budget to be reviewed by the Executive Director and presented to the Board of Directors for their approval. The Business Manager conducts monthly budget reviews with the Executive Director and Treasurer and helps recommend necessary “course corrections.” In addition, the Business Manager works with the Facilities Manager to develop estimates for capital projects, and implements the process by which actual spending can be compared to the estimated spending, and compared to specific donations that were meant for those capital projects. Other financial duties
Ensure w9’s are received for all contractors (anyone providing services from building or repairing something to landscaping to animal grooming)
Sort mail; prepare invoices which need to be paid, review with Executive Director for payment approval.
Weekly entry of bank transactions in Quickbooks
Biweekly entry of payroll transactions in Quickbooks
Filing of paper invoices by vendor by month
Reviews invoices and purchases
Makes weekly deposits
Reconciles merchandise sales; tracks inventory. Orders merchandise with Executive Director approval.
Oversees financial forecasting and cash flow projections for new and existing income streams and project spending
Reviews bids received for projects, ensuring three bids are received and reviewed with recommendation to the Facilities Manager and Executive Director
Tracks actual spending on projects
Issues monthly income and expense reports to Executive Director and to the Treasurer to ensure that they are fully informed regarding organization’s financial health
Payroll: Collects time cards and runs payroll for both bi-weekly and salaried monthly employees, using Patriot Payroll. Records appropriate journal entries and issue checks.
Completes new hire paperwork with all new employees
Research health insurance options. When FCFS generates enough donations to offer healthcare, present recommendation to Executive Director and Board of Directors on what plan to offer.
When plan is available: Manages employee health insurance plan selection & enrollment
Maintains HR records
Develops and Reviews Employee Handbook with Leadership Team every six months and updates for clarification, changes in law, and changes in internal policies
Completes requests for employment verification and other similar requests
Ensures FCFS is compliant with Labor Department regulations
Assists Executive Director and others with coordination of weekend tours and volunteer training
Search out grants and other opportunities for fundraising to be presented to the Executive Director. Lead some of those efforts
Monthly updates of wish list on Smile Amazon (reviews needs with the Animal Care Coordinator, Facilities Manager, and Executive Director)
Is an ongoing participant in the strategic planning process and oversees the alignment of long-term budget and financial planning with the goals of the strategic plan
Gives quarterly financial presentations to the Board of Directors
Engages with members of the Leadership Team across departments to ensure smooth organizational functioning
Stays up to date with best practices in non-profit administration, IRS and state reporting requirements, and human resources administration
Conducts routine weekly maintenance of the donor database, the volunteer database, the animal sponsor database, and membership database to merge duplicates & append address data.
Assists Executive Director with fundraising events
Assists Executive Director and Animal Care Coordinator with call for volunteers when needed.
Works with Website Administrator to update as needed.
